We are committed to protecting your personal data in accordance with the Singapore Personal Data Protection Act 2012 (PDPA) and applicable international standards, including the ICF Code of Ethics where coaching services are concerned.

What data we collect

We collect personal data in the following contexts:

General enquiries (Contact form)

  • Name and email address submitted via the contact form (processed by Formspree)
  • Your message / enquiry content

Coaching client intake

  • First name and last name
  • Email address
  • Phone number (optional)
  • Country of residence
  • Coaching objective - your goals, challenges, and desired outcomes as described in the intake form
  • Payment information - processed directly and securely by Stripe; we never store card details
  • Session content - notes and outcomes from coaching sessions, held in strict confidence

Consulting client intake (AI / Digital Transformation / LinkedIn)

  • First name and last name
  • Email address
  • Phone number (optional)
  • Country of residence
  • Consulting objective - the challenge or goal you describe in the intake form
  • Payment information - processed directly and securely by Stripe; we never store card details

Newsletter and free resources

  • Email address (and, where the form asks for it, first and last name) submitted when you subscribe to the Before The Announcement newsletter or download a free worksheet
  • The resource or page you signed up from, so we know what you asked for

Website analytics

Where enabled, we use Google Analytics to count visits and see which pages and buttons are used (for example, which page led to a booking). It uses cookies and collects usage data such as pages viewed and approximate location. It is not used to identify you personally.

How we use your data

  • To respond to your enquiry or manage your coaching or consulting engagement
  • To process and confirm your payment for sessions
  • To maintain your client record and communicate about sessions
  • To send information you have requested, including the newsletter or free resource you signed up for. Every email carries an unsubscribe link, and you can unsubscribe at any time
  • We will never send unsolicited marketing without your explicit consent

Data storage and third-party processors

We use the following third-party services to process and store your data:

  • Formspree - processes general contact form submissions and delivers them to our inbox. We do not store these on this website.
  • Stripe - processes all coaching and consulting payments securely. Card details are handled entirely by Stripe and are never stored by InfiniSphere. Stripe is PCI-DSS compliant.
  • HubSpot - used as our CRM to store coaching and consulting client records including name, contact details, country of residence, and session objective. Data is stored on HubSpot servers subject to HubSpot's privacy policy.
  • Beehiiv - used to deliver and send our newsletter and free resources. Your email address is stored on Beehiiv's servers subject to Beehiiv's privacy policy, and you can unsubscribe from any email.
  • Google Analytics - where enabled, used to measure website usage, subject to Google's privacy policy.
  • Resend - used to send transactional notification emails internally (e.g. new client alerts). Your data is included in these notifications solely for the purpose of managing your engagement.
  • Vercel - hosts this website and its serverless API functions. No personal data is permanently stored on Vercel infrastructure.

No data is sold or shared with third parties for marketing or profiling purposes.

Coaching confidentiality

All coaching sessions are fully confidential. Natalia Poliakova adheres to the ICF Code of Ethics. Session content - including what you share about your life, work, and goals - will never be disclosed to third parties without your written consent, except where required by law.

Data retention

Contact form enquiries are retained for as long as necessary to respond to your message. Coaching and consulting client records are retained for a minimum of 3 years after the end of the engagement for business and compliance purposes, after which they are securely deleted upon request. Payment records are retained as required by Singaporean financial regulations.

Cookies and analytics

This website does not currently use cookies or analytics trackers. If analytics are added in future, this policy will be updated and users will be informed.

Your rights

Under the Singapore PDPA, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your personal data (subject to legal retention obligations)
  • Withdraw consent for data use (where consent is the basis for processing)
